Microsoft Copilot is a per-user AI assistant for Microsoft 365. A Reasonwave business brain is a private AI platform built around one company's data, owned outright and hosted on UK infrastructure you control. Copilot helps individuals work faster inside Office; a business brain gives the whole company one system that knows the business and can act on it. Many firms run both. Here's how to decide.
| Question | Microsoft Copilot | Reasonwave business brain |
|---|---|---|
| What it sees | Your Microsoft 365 content: email, Teams, SharePoint, Office files | Your whole business: CRM, finance, operations, phones, documents — in one database |
| What it does | Drafts, summarises, answers questions about your files | Answers questions on live data and takes actions: updates records, raises invoices, builds reports |
| Who owns it | Microsoft; you licence it per user | You; code, data and configuration are yours |
| Where it runs | Microsoft's cloud (UK/EU data boundary options available) | Private UK infrastructure (Equinix Slough), models placed per your agreement |
| Cost model | Per user, per month, on top of M365 | Fixed price per project phase; no per-seat fee |
| Set-up | Switch on; useful in days | Built for you; first version live in weeks |
| Best for | Making individual staff faster at Office tasks | Running the business from one system with AI across all of it |
Copilot is the right choice if your main problem is individual productivity in Office — writing, summarising meetings, finding things in SharePoint. It's fast to turn on, needs no project, and if you're already deep in Microsoft 365 it's a natural add-on. For a 20-person firm whose data genuinely lives in Office files, Copilot may be all you need.
A business brain is the right choice when the question isn't "help me write this" but "what's actually going on in the business". Which jobs are losing margin this month. Which customers haven't been contacted in 90 days. What the board pack says if you build it from live numbers instead of last month's spreadsheet. That needs one data model across CRM, finance and operations — which no off-the-shelf assistant has — and it needs the AI to act, not just advise. It's also the choice when data residency or ownership matters: you decide what runs where, and you own the result.
It's also the choice if you'd rather not have your AI reorganised under you. Copilot has been restructured several times since launch — apps merged, features retired, chat removed from Office for some tenants. A platform you own changes when you decide it should.
Copilot is a licence: predictable, per head, forever. A business brain is a build: a fixed price per phase, then hosting and support. For a firm of 30 people, three years of per-seat AI licences across several tools often costs more than building the thing once — and at the end of the licence you own nothing. We'll show you the comparison on your own numbers in a discovery call.
Copilot runs in Microsoft's cloud. Microsoft offers UK and EU data-boundary commitments, and for many businesses that's sufficient. A business brain runs on private infrastructure in the UK; sensitive data is processed there, and which models are used for which tasks is agreed with you and written down. If your clients, regulator or insurer ask where the AI runs and what it sees, you'll have a one-page answer.
There's no conflict in running both: Copilot for Office work, the business brain for everything that touches live business data. The two don't compete for the same job.
If you're not sure which you need, the discovery call is the place to find out — we'll tell you if Copilot is enough.
Yes. A business brain connects to Microsoft 365 for email, calendar and documents, so Copilot handles Office tasks and the business brain handles everything else.
Microsoft offers UK and EU data-boundary options for Microsoft 365; check your tenant's configuration. A Reasonwave platform processes sensitive data on private UK infrastructure by design.
It depends on headcount and horizon. Copilot is cheaper to start; a business brain is often cheaper over three years for firms of 20+ staff, and you own it at the end. We'll run the numbers with you.
A 30 minute call. No deck, no pressure, no junior sales rep. You talk, we listen, and you leave with a straight answer on whether a brain makes sense for your business.
